Handling personal matters at Fastaval
Have you had an unpleasant experience related to Fastaval?
– Here’s how you do it.
Fastaval should be a safe and inclusive place for everyone.
If you feel uncomfortable participating in Fastaval, have been subjected to an unpleasant experience involving another person at Fastaval (or in relation to Fastaval), or have experienced a situation that violates our code of conduct, we encourage you to contact us.
You can always contact the Fastaval organization for help and support. We take all inquiries seriously and treat them with confidentiality and respect. If you find it difficult to do this yourself, you are welcome to ask someone else to contact us on your behalf. In that case, we will need to see a power of attorney from you so that we can be sure that you want the matter reported. A power of attorney can be a text message or an email in which you tell us that you agree to the other person reporting your case.
When your inquiry is received, ALEA will assess the matter from a Fastaval perspective. We take all first-hand experiences into account in a risk assessment, regardless of where they took place, and assess how and to what extent they could potentially affect the Fastaval experience for one or more people at Fastaval.
ALEA’s focus is Fastaval, but we are happy to help you further if you don’t know where else to turn for help.

- During Fastaval in Easter, you can contact the Safety Hosts on +45 93 90 35 67.
The Safety Hosts are available with a short response time during the phone opening hours (can be seen on the info board) and will take care of your case – but can forward you to the main organizer group if you wish. - Outside Fastaval you can contact Fastaval’s SAFEMAIL
Inquiries on the Safemail will initially be handled by the Main Organizer Group. Alea is also on the email and can inform the Main Organizer Group about previous history if relevant.
Alea is the ‘end of the line’
If your case cannot be immediately resolved by Fastaval’s main organizer group, or your case has been running for more than a year, it will be transferred to Alea’s board. We do this to ensure that you don’t have to start all over again with a new main organizer group. Alea’s board is elected for several years, and there will always be at least one board member who knows your case.

HOW YOUR CASE IS HANDLED BY THE ALEA BOARD
Action plan
When you write to Alea’s board (or your case is passed on from Fastaval’s main organizer group to Alea’s board), you will receive a date when your case will be considered. This will be no later than the next board meeting. Aela’s board meets every month, but if the matter is urgent, we meet extraordinarily. After the meeting, you’ll receive an action plan so you know what’s going to happen.
Confidentiality
Alea’s board of directors consists of volunteers and is therefore not subject to confidentiality in a legal sense. However, they always work on the principle that ALL personal matters and conflicts are treated confidentially.
This means that we do not tell outsiders who has contacted us. In case of allegations against named individuals, we will generally hear both parties and, if necessary, any witnesses in the case. This step is necessary for us to make a decision on a proper basis.
Alea’s Board of Directors does not comment publicly on personal matters, but we reserve the right to inform the annual general.
The principle of confidentiality also means that you cannot expect special insight into the handling/outcome of a case – even if it is someone you report as a third party.
Note: In cases of serious offenses and acts of personal danger, we may need to involve the authorities.
Risk assessment
When the board handles a person case, we do a risk assessment on the person you have contacted us about. We assess whether it is likely that the person will repeat their unwanted action at Fastaval. Among other things, we look at:
- Is there a criminal case pending or is there a decision from a court?
- Does the person have a history of behaving as reported?
- The severity of what you have experienced or are afraid might happen.
- Desire to engage in dialog and find a solution (such as participating in mediation, see below)
We see it as aggravating circumstances when an organizer has crossed the line or if a minor is involved.
Our decision
When a decision has been made in the person case you are involved in, you will receive a written notification of Alea’s decision.
Conflict mediation
Unless it is a very serious case, Alea’s board will offer conflict mediation in the case and try to contribute to a solution where both parties can attend Fastaval in a safe environment. Here, both you and the other party have the right to an advisor or a deputy.
A possible conflict mediation meeting can take place both physically or digitally.
If Alea’s board assesses that a person exhibits risky behavior that makes them undesirable at Fastaval, you and the person will both be notified in writing. The person may be expelled for a number of years, or they may only be welcome under special circumstances. For example, they may be allowed to attend but not drink alcohol. Or that they can participate, but cannot have an organizer position or stay in certain areas.
Alea’s decisions to exclude or restrict participation at Fastaval as a result of a personal matter lasts for a maximum of three years. After that, the case can be reopened if you as an involved party wish to do so. This is done by sending an email to Alea, after which the risk assessment will be revisited.
Failure to comply with participation in special circumstances will lead to expulsion from Fastaval for three years or more.
How long do we store your case?
As long as we deem it necessary. Sensitive personal data and documents related to personal cases are stored in accordance with GDPR rules. Alea can be contacted if you want to know what we have on a given case you are involved in.
ONLINE DEBATES
We occasionally see cases on Facebook or other social media that lead to a passionate discussion. As a general rule, you cannot expect Alea or the main organizers to follow or be obligated to take a public stand in these situations. This is mainly because some of these discussions end up in personal matters that need to be handled by Alea. The handling of these cases is confidential, and it is important for Alea to be objective. It is therefore inappropriate if the board is already part of the public debate.
